FEASIBILITY STUDY
Vision Associates will meet with you to discuss the potential of an optical dispensary within your office. Points to be considered such as space availability, number of prescriptions written, demographics, and the dynamics of the practice will be reviewed. This information will allow us to provide you with a written proposal based upon our findings.
DISPENSARY DESIGN
We will assist in the planning and the design to create an exciting facility that compliments your practice. We work extensively with the leading suppliers of custom merchandising displays or a manufacturer of your choice. A diagram of the proposed facility detailing furniture placements as well as traffic flow patterns for your patients and staff will be submitted for your approval. An interior design professional will work with you in the selection of the display colors and finishes. PRE-OPENING PREPARATIONS
Prior to commencement of our services, our staff will communicate with your office regarding specific insurance carriers, office procedures and all other relevant items. Our goal is to make the process seamless and our presence welcome and productive.
INVENTORY
Vision Associates will provide new inventory targeted to your specific patient demographics. This will include well-known designers such as Polo, DKNY, Gucci, Prada, Versace, Vera Wang and other popular brand names as well as a large selection of the latest sun wear, sportswear and safety eyewear. An analysis of your area will be conducted in order to have a better understanding of competitive price structures and consumer preferences. Frame inventory will be furnished and managed by Vision Associates. Our board management system allows us to maintain current products on display at all times.
LAB FACILITY
Vision Associates benefits by sharing their facilities with Essilor Labs of America, the lens manufacturing division of Varilux. The labs recent expansion and upgrade to a state of the art facility has the capability of providing your patients with quality eyewear, latest in lens technology and prompt turnaround time. We are proud of our relationship with Essilor; as we mutually share a commitment to higher standards.
TURN AROUND TIME
The corporate office maintains a fully stocked frame inventory department to process all spectacle orders. This along with having the lens laboratory on premises allows us to deliver eyewear to your patients without delay.
PERSONNEL
The staff of the optical dispensary will be employed by Vision Associates. The practice has final approval of all optical employment decisions. All staff members will comply with your state regulations.
TRAINING/SUPERVISION
Each practice is assigned a regional manager whose function is to oversee the optical staff. They will work side by side with the optician to insure they understand the procedures, computer software and all aspects of the dispensary to provide the utmost in patient care. After the initial training has been completed, performance standards will be established for each individual. The regional managers will routinely be on-site in order to maintain the established guidelines.
STAFF EDUCATION
Eyewear education is imperative to you and all members of your medical staff. Vision Associates will conduct periodic meetings to discuss new products and technology regarding lenses, coatings, etc.
Various meetings are also hosted by Vision Associates involving all optical staff members. They are designed to be informative, educational and allow us to provide accredited speakers, introduce new product, and launch new incentive programs.
TEAM EFFORT
Communication is a key element to the success of your dispensary. On a regular basis, one of the principals of Vision Associates will be in contact with you and your colleagues to discuss the current progress, objectives and future direction.
INTERNAL MARKETING
Throughout our years of managing dispensaries, we have developed different programs customized to specific demographics. Vision Associates will present for your approval innovative marketing strategies designed to increase your patient base with organized promotional campaigns. THIRD PARTY INSURANCE
Third party billing is a tremendous time consuming responsibility for your practice. As part of our management program we process all optical claims on your behalf. Any claims that require additional follow-up will be reviewed by Vision Associates' insurance coordinator. Our experienced management team has a complete understanding of all forms of third party insurance i.e. Medicare, VSP, Davis Vision, EyeMed, to name a few. This allows us to streamline the billing process while maximizing each patient encounter.
POINT OF SALE SOFTWARE
Vision Associates provides a comprehensive point of sale system including hardware and software. The POS communicates directly with our lens laboratory expediting all orders. In addition, we are able to generate multiple reports allowing us to establish benchmarks and maximize your dispensaries full potential.
